AI Customer Service Software: What Matters When You Choose One

pingo – AI customer service on every channel

Good AI customer service software answers routine questions on every channel by itself, and only from your approved knowledge. Anything it can't resolve reliably goes to your team with the full context. When choosing one, the AI itself matters less than four things: knowledge base, channels, control and insights. This checklist shows what to look for.

Why classic chatbots often disappoint

Many companies have already tried a chatbot. The experience is often sobering: rigid click paths, answers that don't fit, and customers who end up calling anyway. The reason is usually the same. The bot only knows canned answers or, at the other extreme, it makes things up because it relies on general knowledge.

Modern AI customer service software works differently. It understands requests in plain language and looks for the answer in your own content. Our post on AI in customer support explains the basics.

The checklist: 7 points for your choice

  1. Controlled knowledge base: The AI may only answer from answers, FAQs and documents you have approved. Ask whether sources are visible for each answer.
  2. All channels in one system: Website chat, phone, email and social media such as WhatsApp or Instagram. Separate tools per channel mean double maintenance.
  3. Handoff with context: Whatever the AI can't solve must reach the right person with the full history. Customers shouldn't have to explain anything twice.
  4. Approval and learning: Your team should be able to approve or overwrite replies in one click. Good systems learn from every correction.
  5. Connection to your systems: For questions like "Where is my order?" the AI needs access to your shop or inventory system, for example Shopify.
  6. Data protection: GDPR-compliant processes, clear access rights and documentation of every conversation. More in AI and data protection for SMEs.
  7. Insights: Customer service is the first to know what bothers customers. Good software turns this into reports for marketing, product and sales.

Chatbot, AI agent or platform?

Classic chatbot Single AI agent AI customer service platform
Understands free language limited yes yes
Answers from your own knowledge canned answers only depends on setup yes, with sources
Channels usually website only usually one channel chat, phone, email, social media
Handoff to the team often without context varies with full history
Insights hardly any hardly any topics, mood, trends

For a single, clearly defined problem, one agent can be enough. As soon as several channels and a team are involved, a platform is usually the better choice.

How pingo does it

pingo is our own platform for AI customer service. We built it from the experience of many customer service projects, including for prepmymeal and FCBB.

  • One knowledge base for every channel: You store your knowledge once. Chat, phone and email agents all draw on it.
  • Answers in your tone: Every suggestion gets a quality score, so you can see how confident the AI is.
  • Your team decides: If the reply fits, one click sends it. Whatever the AI can't answer goes to your team with the full context.
  • Channels and tools: WhatsApp, Instagram, Facebook, TikTok and Shopify can be connected.
  • Voice of customer: Six standing analyses show trends, mood, critical topics, product feedback, purchase barriers and return reasons every morning.

According to pingo, 92% of requests are resolved automatically. How many it is for you depends on your topics and your knowledge base.

How to get started

  1. Collect your most common requests: The 20 most frequent questions usually make up most of the effort.
  2. Clean up your knowledge: Update answers, FAQs and documents. Our post about PAYJET shows what a clean knowledge wiki looks like.
  3. Start with one channel: Often that's the website chat or the email inbox.
  4. Follow approvals closely: In the first weeks your team reviews many replies. After that, the share the AI resolves alone grows.

Frequently asked questions

Does AI customer service replace my team? No. The AI handles routine questions, your team takes care of the cases where experience and tact matter.

Does the AI make up answers? Not if it only answers from a controlled knowledge base. That's exactly what to look for when choosing.

Do I need technical skills? Not with pingo. If you can handle an email inbox, you can work with it.

What if we have special systems? Then we connect pingo individually, for example to ERP, CRM or SAP. More on our AI customer service page.
